Refund Policy
This policy sets out the framework for refund and cancellation requests in connection with payments made to Eastern Eye Konsult. The specific commercial terms — including eligibility windows, percentages and processing timelines — must be confirmed by Eastern Eye Konsult before this policy is published.
Scope
This policy applies to payments made to Eastern Eye Konsult in connection with event tickets, table sales, sponsorship packages, consultancy engagements and any other paid services, where a refund or cancellation right has been communicated at the time of purchase.
This policy does not apply to complimentary or RSVP-only attendance, which carries no payment obligation.
EEK to confirm: the full list of payment categories to which this policy applies, and whether different rules apply to different categories (e.g. event tickets vs. consultancy retainers).
Refund eligibility
EEK to supply: the specific refund eligibility rules, including the cancellation window (e.g. number of days before the event), whether a full or partial refund applies at different stages, and any non-refundable administrative or processing charges. These terms must be set by EEK and reviewed by legal counsel before publication.
Until the above terms are confirmed and published, any refund request will be considered on a case-by-case basis at the discretion of Eastern Eye Konsult.
How to request a refund
To request a refund, please contact Eastern Eye Konsult using the details in the document header or at eekgh.org/contact.
Your request should include:
- Your full name and contact details.
- The event name and date.
- Your payment reference or booking confirmation number.
- The reason for your cancellation request.
EEK to confirm: the target response time for refund requests and the processing timeline once a refund is approved.
Refund method
Approved refunds will be returned by the same payment method used for the original transaction, unless otherwise agreed.
EEK to confirm: the payment methods accepted and the refund processing timeline for each (e.g. mobile money, bank transfer, card). Confirm whether any currency conversion or transfer fees are deducted.
Event postponement or rescheduling
Where Eastern Eye Konsult postpones or reschedules an event, registered and paying attendees will be notified as soon as reasonably practicable.
EEK to confirm: the options offered to paying attendees when an event is postponed (e.g. transfer to the new date, credit note, full refund). These terms should be consistent with Ghanaian consumer protection principles.
Event cancellation by Eastern Eye Konsult
Where Eastern Eye Konsult cancels an event entirely and the cancellation is not due to force majeure, we will communicate with registered and paying attendees and publish information on the relevant event page.
EEK to confirm: the refund terms that apply when EEK cancels an event (e.g. full refund of the ticket price, timeline for processing). Legal counsel should advise on obligations under Ghanaian consumer protection law.
Force majeure
Where an event is cancelled or postponed due to circumstances beyond our reasonable control (including but not limited to natural disaster, epidemic, civil unrest or government action), our liability to refund payments is limited.
EEK to confirm with legal counsel: the specific force majeure refund position, including whether any partial refund or credit is offered and how this interacts with Ghanaian consumer protection law.
Attendee cancellation
If you need to cancel your attendance, please notify us as soon as possible using the contact details in the document header.
EEK to supply: the cancellation window and refund entitlement for attendee-initiated cancellations. For example: cancellations made more than [X days] before the event receive a [Y%] refund; cancellations within [X days] of the event are non-refundable. These figures must be set by EEK.
Non-transferable tickets
EEK to confirm: whether tickets or table bookings are transferable to another person, and if so, the process for doing so. If tickets are non-transferable, state this clearly here.
Governing law
This policy is intended to be governed by the laws of the Republic of Ghana.
EEK to confirm with legal counsel: the governing law and jurisdiction clause for this policy.
